Our story
Accountants first, implementers second
NeoProc has kept the books of Costa Rican businesses since 2013. Along the way we built our own payroll and payments tools, because we learned that accounting gets faster and more accurate when data reaches the ledger without someone retyping it.
Becoming a Zoho Partner follows from the same idea. Many businesses already run their sales, customers or stock on Zoho. Zoho Books lets their accounting live in the same place, and we make sure what lands there meets Hacienda rules and closes on time every month.
One team, start to finish
The people who set up your Zoho Books are the accountants who close it every month, so the setup is built for the close, not for the demo.
Built for Costa Rica
Chart of accounts, taxes, colones and dollars, and electronic invoicing set up for Hacienda from day one.
Zoho Partner
An official partner of Zoho, accountable for an implementation that works after go-live.
How we help
What we hear before a Zoho Books project
These are the problems businesses bring to us, in roughly their own words.
What we hear: “We use Zoho for sales, but accounting is a separate system and someone retypes everything.”
What we do: We bring your accounting into Zoho Books so invoices, customers and items flow from the Zoho apps you already use, with no re-entry.
What we hear: “Our electronic invoices and our books never quite agree.”
What we do: We connect electronic invoicing to Zoho Books so each invoice issued or received becomes an entry, and we reconcile against Hacienda records.
What we hear: “We bill in dollars and pay in colones, and the exchange differences are a mess every month.”
What we do: We set up multi-currency in Zoho Books with a consistent exchange-rate policy, so differences are posted as they happen instead of estimated at year end.
What we hear: “We bought the software, but nobody really finished setting it up.”
What we do: We take over half-finished implementations, clean up the chart of accounts and opening balances, and train your team on the workflows that matter.
Our process
From first call to monthly close
Four steps, each ending with something you can see.
- 01
Discovery
We map how money moves through your business: sales, purchases, payroll and banks. You get a written scope and a quote before anything starts.
- 02
Setup and migration
We configure Zoho Books for Costa Rica, connect your banks and electronic invoicing, and bring over opening balances and open invoices.
- 03
Training
Your team learns the day-to-day in Zoho Books: issuing invoices, recording expenses, approving bills. Only the workflows they will actually use.
- 04
Monthly close and support
We keep the books, reconcile, file with Hacienda and deliver your financial statements. When your business changes, we adjust the setup.
Our expertise
What we set up and run in Zoho Books
Each piece is there for a result you will notice.
Costa Rican chart of accounts and taxes
VAT, withholdings and accounts structured the way Hacienda and your auditors expect, so filings come straight from the ledger.
Electronic invoicing connection
Invoices issued and received under Hacienda's electronic invoicing flow into Zoho Books, ready to reconcile.
Bank feeds and reconciliation
Bank movements arrive in Zoho Books and are matched against invoices and bills, so your cash position stays current.
Multi-currency
Colones and dollars side by side, with exchange differences posted consistently.
Approvals and automation
Purchase approvals, recurring invoices and payment reminders, so routine work runs without anyone chasing it.
Connections to the rest of Zoho
If you use Zoho CRM, Zoho Inventory or other Zoho apps, we connect them so sales and stock reach your books without retyping.
Payroll in the books
Payroll, posted to Zoho Books with every provision in place
AutoPlanilla, our payroll system, calculates each payroll under Costa Rican law. The accounting doesn't stop at the salary: every run reaches Zoho Books as a complete entry, and the obligations it creates are recognised in the month they are earned.
- 01
Calculated in AutoPlanilla
Salaries, overtime, CCSS deductions and salary income tax withholding, calculated per employee for every pay period.
- 02
Posted to Zoho Books
Each payroll posts to Zoho Books as a journal entry mapped to your chart of accounts: salary expense, withholdings and amounts payable, with nobody retyping it.
- 03
Reconciled at close
We tie the entry to the CCSS and Hacienda filings and to the bank payment, so payroll balances agree before your financial statements go out.
Provisions and accruals, every month
Recorded in Zoho Books as the obligation is earned, not when it is paid: the accrual basis NIIF requires for employee benefits (IFRS for SMEs, Section 28).
- Aguinaldo
- The thirteenth-month salary, accrued at one twelfth of salaries every month, so December carries no surprise in your results or your cash.
- Vacations
- Vacation earned but not yet taken, carried as a liability and released as employees take their time off.
- Employer social charges
- Employer CCSS and Banco Popular contributions, accrued with the payroll that generates them rather than when the invoice is paid.
- Occupational risk (INS)
- The riesgos del trabajo policy, spread across the periods it covers instead of expensed in the month it is paid.
- Severance (cesantía)
- A provision for severance and notice obligations, sized with you according to your policy and labour exposure.
- Salary tax withheld
- Income tax withheld from salaries, held as a liability to Hacienda until the monthly return is filed and paid.
How each provision is calculated is agreed with you during setup and documented, so your auditors can follow every figure back to AutoPlanilla.

Zoho Books questions
Does Zoho Books work for Costa Rican accounting?
Yes, with the right setup. Zoho Books handles multi-currency, bank reconciliation and taxes; what it needs for Costa Rica is a local chart of accounts, VAT and withholding rules, and a connection to Hacienda electronic invoicing. That setup is what we do.
Should I choose Zoho Books or Xero?
We partner with both, and AutoPlanilla payroll posts to either. Zoho Books tends to suit businesses that already use other Zoho apps, such as CRM or Inventory. Xero tends to suit businesses that rely on Xero's app marketplace. In discovery we recommend one based on how you operate.
Can you take over a Zoho Books setup someone else started?
Yes. We review the existing configuration, correct the chart of accounts and balances where needed, and then carry on with training and monthly accounting.
How long does an implementation take?
It depends on how many companies, currencies and integrations are involved. After discovery we give you a written timeline before work starts.
Does choosing Zoho Books change the price?
Our plans are published as starting prices. The final monthly fee depends on your ERP platform and the options you choose, and we agree it with you before you start.
More than one ERP
We are partners for other platforms too
